ZOOM GUIDE FOR ICHS ONLINE CONFERENCE
Zoom unifies cloud video conferencing, simple online meetings, and group messaging into one easy-to-use platform.
Before joining a Zoom meeting on a computer or mobile device, you can download the Zoom app from the Download Center. Otherwise, you will be prompted to download and install Zoom when you click a join link.
You can also join a test meeting to familiarize yourself with Zoom.
Joining the meeting
A Zoom account is not required if you are strictly joining Zoom Meetings as a participant. When we invite you to our meeting, you can join as a participant without creating an account. The basic Zoom license what we need is free, there are no additional costs.
Before the meeting appointment you will receive an email invitation from us. You can join a meeting:
- by clicking the meeting link
- going to https://zoom.us/join and entering in the meeting ID
- or from your account, if you already have one
- 1. Option: Meeting link
Click the join Zoom Meeting link in your email. After your click you will be prompted to either download or launch Zoom.
- 2. Option: https://zoom.us/join
- 3. Option: With an account
Each meeting has a unique 9, 10, or 11-digit number called a meeting ID that will be required to join a Zoom meeting. Enter the Meeting ID what you can find in the invitation email.
Before the joining you can also test your speaker and the microphone, we recommend this option in order to check are you able to participate the conference in the proper way.
Enter your name
Kindly ask you to use your whole name as in your registration.

Testing audio before joining a meeting
If you haven’t enabled the setting to automatically join by computer audio, you can test your speaker and microphone before joining a meeting:
- Click Test Speaker and Microphone.
- The meeting will display a pop-up window to test your speakers. If you don’t hear the ringtone, use the drop-down menu or click No to switch speakers until you hear the ringtone. Click Yes to continue to the microphone test.
- If you don’t hear an audio replay, use the drop-down menu or click Noto switch microphones until you hear the reply. Click Yes when you hear the replay.
- Click Join with Computer audio to exit the speaker and microphone test.
- Click Join with Computer Audio to join the test meeting with the selected microphone and speakers.
During the presentations
Once you joined to the meeting you will see the above screen.
Mute/Unmute & Audio Settings
You can mute and unmute your microphone. As a host we also have the ability to mute you. If you click on the arrow next to the mute button, you will have additional options for audio settings. You can change your microphone, leave the computer audio or access the audio options.
Start/Stop Video & Video Settings
You can turn your camera on or off with the Start/Stop Video button. By clicking on the arrow next to the start/stop video button, you can change webcams, access your Zoom video settings, or select a virtual background (if enabled).
!! As a participant please make sure that your microphone and your camera is off during the presentations. Please do not disturb the performers with it. After their talks you will be able to ask with the following rules.
All of the presentations are 15 minutes and it follows 5 minutes discuss time when you have the opportunity to ask or express your opinion. If you would like to comment, please let us know on the Chat window. Click Chat to open up the chat window and send a message that you have a question. After the presentations, we will see the requests and also the chronology. If you can hear your name from the president, please unmute your microphone and ask your question. After it, please unmute the microphone.
If you click on Participants, you can see who is currently in the meeting. The participants list also gives you the option to rename yourself.
As a participant you are not able to share your screen.
Enter/Exit Full Screen
At the top right of the Zoom window, you can enter or exit full screen mode. You can also exit full screen by clicking Esc.
You can leave the meeting at any time by clicking on the Leave Meeting option at the lower right corner of the Zoom window.
We will record all of the presentations and upload them. After the conference you will receive an email with the links.
